The Atlanta office of an AmLaw 100 law firm is seeking a Corporate Legal Administrative Assistant to join its growing team. This position provides high-level administrative support to attorneys and practice teams within the Corporate Group. In this role, you will provide comprehensive administrative support to attorneys by managing calendars, scheduling meetings and calls, and tracking critical deadlines to ensure smooth coordination. You will be responsible for drafting, formatting, and editing legal documents and correspondence with a strong emphasis on accuracy and professionalism. Additional responsibilities include coordinating travel arrangements, processing expense reports, and supporting billing functions such as time entry, prebill editing, invoicing, monitoring aged accounts receivable and unbilled work-in-progress, and facilitating client payments. You will assist with file administration tasks including conducting conflicts checks, maintaining case charts, updating contacts, preparing engagement letters, organizing folders in NetDocs, coordinating attorney rates, and managing file openings and closures. Meeting logistics will also fall under your purview, including reserving conference rooms, preparing materials, and ensuring technology needs are met. You will process firm reimbursements in accordance with internal policies and provide case and matter management support by maintaining files, tracking deadlines, and monitoring related documents. The role also involves coordinating corporate transaction documents, overseeing mail handling—including scanning and saving to NetDocs and serving as a dependable administrative resource to attorneys, clients, and colleagues. Throughout all interactions, you will maintain professional communication, ensuring confidentiality, accuracy, and a high standard of client service.
The ideal candidate brings a minimum of three years of experience as a legal administrative assistant, preferably within the field of corporate law. They demonstrate strong proficiency in the Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint, and ideally have experience with legal billing and time entry systems. Exceptional written and verbal communication skills, paired with a high level of professionalism, are essential. The role requires strong organizational abilities and the capacity to effectively prioritize multiple tasks. Attention to detail is critical, particularly in proofreading for grammar, spelling, and formatting accuracy. Additionally, the candidate must be able to maintain confidentiality and exercise sound discretion in all aspects of their work.
