Nelson Mullins, an AmLaw 60 firm, is seeking a highly organized and detail-oriented Administrative Support Assistant with fluency in Korean to join our dynamic team in Atlanta. This role offers the opportunity to provide high-level administrative support in a fast-paced legal environment, contributing directly to the efficiency and success of our attorneys and staff.

A Day in the Life

This position plays a vital role in our team’s success, providing high-level administrative support to our immigration group. You’ll have the opportunity to think ahead, take initiative, and ensure the team operates smoothly by managing calendars, scheduling client meetings, processing expenses, creating invoices, and maintaining accurate records. In addition to these essential tasks, you’ll assist with both internal and external communications, prioritize incoming information, and draft clear, professional memos when needed.

We Know You

You have the foresight and understanding of what needs to be done and how, allowing you to juggle multiple projects and reprioritize with ease. As a top-notch communicator, you recognize that consistent follow-up and follow-through are essential to keeping a team running smoothly. Attention to detail is critical, and the ability to thoroughly proofread documents is a must. You will manage prebills by sorting and organizing them by company for attorney review and billing purposes, while also processing and managing attorney reimbursements in accordance with Firm policies.

 

Your responsibilities will include handling invoice payments, including credit card and third-party vendor payments, and collaborating with Case Managers to create and process client invoices, following up as needed on any unpaid bills. You will also handle incoming and outgoing mail, scanning and saving documents in the Firm's electronic document management system, NetDocs, and provide document support by printing legal materials in preparation for client meetings and filings. Additionally, you will prepare check requests for client expenses and other firm-related expenditures and submit and manage requests for client matter numbers to ensure accurate case documentation.
