Overview

The Charleston office of Nelson Mullins, an AmLaw 60 law firm, seeks a dedicated Administrative Assistant to support two  partners and a paralegal specializing in intellectual property, internet law, and brand protection. Our practice focuses on trademark prosecution, domain name disputes, online brand enforcement, and counseling clients on IP strategies in domestic and international contexts, requiring a proactive, detail-oriented assistant to support a dynamic, client-centric practice.

A Day in the Life

The IP Administrative Assistant will play a critical role in providing comprehensive executive support to the Office Managing Partner, helping to ensure the seamless operation of a busy intellectual property (IP) practice. This includes managing docket-related tasks such as tracking deadlines for trademark filings, domain name disputes (including UDRP proceedings), and renewals both domestically and internationally. The role also involves coordinating travel arrangements, scheduling meetings, and processing expense reimbursements. The Assistant will assist with the preparation and filing of trademark applications, responses to office actions, and anti-counterfeiting documentation. Additional responsibilities include routine administrative support such as document preparation, calendar management, and correspondence related to IP and brand protection matters.

 

The position requires direct client communication, demanding strong written and verbal communication skills, professionalism, and impeccable proofreading for accuracy. The Assistant will also support brand enforcement initiatives by researching and monitoring online activities, including domain name registrations and potential infringements.

We Know You

The ideal candidate will have a minimum of two years of experience supporting trademark or intellectual property work, preferably within a law firm or corporate legal department. Candidates should be well-versed in trademark prosecution processes, domain name disputes (such as UDRP), and online brand protection. Proficiency in Microsoft Office Suite—including Word, Excel, Outlook, and PowerPoint—is required, along with experience managing digital files in a paperless environment.

 

The role demands exceptional organizational skills, attention to detail, and the ability to effectively prioritize tasks. Strong communication abilities are essential for interactions with clients, trademark offices, and internal team members. The successful candidate will demonstrate initiative, an ability to anticipate needs, and the confidence to work independently. A composed demeanor under pressure and a collaborative, team-oriented mindset are key. A basic understanding of internet-related topics—such as domain names, WHOIS data, social media platforms, and anti-counterfeiting strategies—is a plus.
