Nelson Mullins, an AmLaw 100 law firm, is seeking an Executive Administrative Assistant to join it's Atlanta office. This role requires the assistant to provide a high-level of desk support for the Office Managing Partner along with other Corporate Partners of the Firm. This position requires exceptional organizational skills, expert attention to detail, and the ability to maintain the utmost confidentiality. The ideal candidate must thrive in a fast-paced environment, handling tight deadlines and adjusting to unscheduled events that may shift priorities at a moment’s notice.
As the Executive Administrative Assistant, your responsibilities include maintaining attorneys' calendars, scheduling meetings, and arranging travel. You are responsible for processing monthly expense reimbursements for partners and handling conflict checks, as well as opening new client matters. You also prepare new engagement letters and assist with revising and finalizing correspondence, documents, and other clerical tasks as needed. Managing heavy billing for attorneys and reviewing accounts receivable reports, along with providing summaries, are key aspects of your role. Additionally, you assist the Managing Partner with the office budget and prepare financial reports. Strong proofreading skills and attention to detail are crucial for your work, alongside excellent interpersonal, written, and verbal communication abilities. You must exercise sound judgment and maintain confidentiality, especially when handling sensitive information. Lastly, you assist with special projects as required.
The ideal candidate must have a minimum of 3 to 5 years of executive administrative experience within a large law firm or corporation. They should have extensive knowledge and proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. A bachelor’s degree from an accredited institution is required, along with strong proofreading skills and a keen attention to detail.
