Overview

The Columbia, SC office of an AmLaw 100 firm is seeking a detail-oriented and highly organized Senior Records Assistant to join our team. This role is pivotal in ensuring the accurate creation, circulation, filing, and off-site processing of Firm records. The successful candidate will play a critical role in maintaining both electronic and physical filing systems, assisting with document integration, and providing essential support and training to staff on information governance best practices. This role is integral to our operations, requiring a combination of physical tasks and technical expertise.

A Day in the Life

In this role, you will be responsible for maintaining and managing electronic and physical filing systems to ensure efficient document storage and retrieval. Assisting in processing incoming information, including sorting, classifying, and coding documents for seamless integration into our systems. Providing guidance and support to staff on the use of records management systems, best practices, and IG. Providing customer service by retrieving and referencing information as requested by clients. Maintaining logs and indexes to track the status of information. Accumulating statistical data and preparing comprehensive reports as required. Regularly interacting with a diverse group of timekeepers, supervisors, co-workers, and other staff members via phone, email, and in-person communication.

 

Additionally, you will be responsible for handling, inventorying, and moving records within the office to include boxes up to 50 lbs, lifting and shelving individual files and utilizing wireless scanning technology to update the location of client records/files. Flexibility and some travels are a must.

We are looking for proactive, reliable, and detail-focused individual who is ready to hit the ground running. Strong computer and critical thinking skills with the ability to work independently is necessary. College degree and law firm records management experience is strongly preferred.
